Manage Families
and Individuals

Search Households
The Household List displays the existing households and allows a household to be selected for viewing or modification. Different sorting options are available and columns 3 through 6 can be changed to display different information.
At the bottom of the window there is an Add New Household button to bring up a blank Household Form and enter a new Household. -
Add/Edit Households
The Household Form allows for entry of a new household. The household Status code is used to classify them as Active, Inactive, Visitor or a custom status code of your own. The primary address is the local address and the Alternate Address is if they go somewhere else during a portion of the year.
The Send Email button allows you to quickly send an email without having to log into your outlook or other email application. -
Search Individuals
The Member List is a list of all the people. Clicking on a name will open the Member Form displaying all the information about the person including the other members in the household.
Different sorting options are available and columns 3 through 6 can be changed to display different information. -
Add/Edit Individuals
The Member Form is a powerful form that allows you to accomplish a variety of tasks and enter a plethora of information. IconCMO provides more membership information to be entered than any other web based product on the market and all by using one window.
There is no limit to the number of special dates the system can manage. The system is preloaded with common events such as Birth, Baptism, Confirmation etc.
The Member Form also allows for a member to be transferred from one household to another, work information to be entered, attach children of divorced parents to multiple households, and view any Groups, Talents and Attendance information about the individual.
The top left scroll window displays all the members belonging to the household and one can switch between members by clicking on the desired name.

Skills
The Talent Form is used to track the many talents within the church. IconCMO uses Talent Categories to group similar talents together. Pressing the plus sign next to a Category will display all the talents belonging to the category. Once a Talent is selected member names can be displayed on the right side of the window using the 'Display Members' button. Click the Yes/No on the right to change a person's assignment.
An unlimited number of talents and talent categories can be created. -
Groups
The Group Members Form is similar to the Talents window but has some additional features. Select a group and the Group Email button opens a form allowing for an email to be written and sent to all Members of the selected Group. Adding an attachment to the email is another great feature.
The Group Copy button allows one to copy the membership from one group to another. This makes it very fast to create a new group that is made up of existing groups. Once a group is created, printing labels and sending emails is a breeze.
By clicking the Group Events button you can define events/meetings to a group as well as track attendance to the event. This is great for managing attendance to Sunday School classes and roll call reports can be printed from the Group Reports section. -
Group Attendance
The Group Events window is accessed from the Group Maintenance form and allows one to quickly set up meeting times and dates for a particular group. Roll call reports can be printed for an event and after the event has occurred this form can be used to mark the people that attended the event.
Attendance reports are available providing attendance ratio information and what events a member attended.

The Attendance window allows you to record your weekly Sunday Worship and Communion records.
It's simple and fast because all you have to do is click the 'No' and the system changes it to a 'Yes'. Recording attendance was never faster. Setting the age parameter restricts the members that appear in the scroll window. - Who Attended
The Attendance Ratio report is a great way to see who is and is not attending church, participating in communion, etc. The report shows the number of Events that occurred at the top and next to each name is the number of times that person attended. The Ratio on the right is the percent attended which is calculated by dividing the times attended by the total number of events.
All Reports are printed in a PDF format for easy printer compatibility. - Who is Absent
The Absentee Report displays members that have not attended an event over the specified date range. It offers their contact information as useful information to bring them back to the church.

The Visual Tracking Report is a favorite of pastors. Being able to see people's attendance trends can offer valuable insight.

Archive Membership Information
- Search Archives
The Archive section is something most other systems don't offer yet retaining information about past members is a must for most churches.
Whenever a member is removed from the main database a question appears asking if the member should be archived. If a member returns to membership status, an un-archive feature is available returning the member to the main database. The system remembers all their special events such as baptisms, confirmation, first communion, etc. - Add/Edit Archives
The Archive Form displays all the information collected for the archived individual. In the middle of the window are the headings Archive Info, Special Dates, Work Info, and Notes.
Archive Info displays the household information, Birth Date and the Date the person was archived. The Special Dates section displays all relevant date information about the person such as Baptism, Confirmation etc. Work Info displays where the person worked and the phone number. Notes are any comments you may have made in regards to this person.
The top left corner of the window displays other family members that were also archived from the same household. - Archive Reporting

Pictures
- Household Pictures
Hse-Pictures is used to view and maintain household pictures. All pictures imported must be of type jpeg with a maximum size of one megabyte.
The Hse-Reports tab has a report called "Picture Directory" which creates a nicely formatted Pictorial Directory. - Member Pictures
Mem-Pictures is used to view and maintain member pictures. All pictures imported must be of type jpeg with a maximum size of one megabyte.
Membership Reports
- Household Reports
Household Reports offers a wide variety of reports. Select the name of the report to print on the left. Address labels can be printed using any report with a 'Yes' in the right hand column.
The dark blue area on the right will change providing different options depending on the report choosen. When printing labels a pop-up window appears allowing one to select which label on a sheet of labels to begin with. This saves the church additional money by not wasting partial sheets. All reports are printed use the Adobe Acrobat Reader thereby providing the highest quality output possible regardless of the printer being used.
Notice the Status codes on the window above. The Active and Visitor status codes are both highlighted. This is a multi-select drop down list which allows the user to make any combination of selections. This is very valuable when it is important to rint more than one status code in the same report. - Church Directory
The system offers 7 different styles of Church Directories. These styles have been designed based on the input of our customers over 15 years and is the largest selection of directories provided by any church management system. The one shown here is a two-column list.
- Individual Reports
An extensive selection of pre-designed member reports is available. For each report selected the available options to the report appear in the right box. For example: Birthday, Anniversary, or other Special Event reports can be prepared based on a specific date range or a month range. Address labels can be printed by selecting any report containing a 'Yes' in the right most column.
- Birthday Reports
Above is an example of the Birthday Report. If you have enough names to fill the left column the system will start a second column on the right. There are several ways to restrict who is included on the report so you can get exactly what you want. The report can be sorted by Date(Month), Date(Year), or by name.
Contact Information
- Household Contact Information
From the Household Form press the button "More Information". This window allows you to add as many phone numbers and email addresses as you want to the household. I also allows you to view which "Household Groups" the household is assigned as well as define a couple of fields that are custom to your church.
Most phone numbers and email addresses belong to specific members in the household and not the household itself. This primary household form will contain the main household phone number and email address. - Send Email
With IconCMO it is easy to quickly send an email to a household, member or entire group. On the Household Form click the "Send Email" link and this window pops-up. Fill out the information and press 'Send Email'. That's all there is to it. There's no need to open your local email program. An attachment can be included with the email by pressing the 'Browse' button.

The Member Form has a quick "Send Email" feature with optional attachment to a member without having to open your local email program.
- Individual Contact Information
The dark blue section of this window offers a variety of items specific to a member. Just above the dark blue section is "View" with a selection window next to it. Depending on what you select the dark blue section will alter what it displays. In this case the user selected "Phone Number" which allows you to view all the additional phone numbers that are assigned to this member.
- Group Emails
The Group Email form is a pop-up form located on the Group Maintenance form. It allows an email to be created and sent to all members of the group. Even attachments can be uploaded from your local computer and attached to the email.
This is a quick way of notifying all the people in a group and at zero cost. In addition, a report can be run giving information about who doesn't have an email address and a status of the email process itself. For those that do not have an email address a label can be printed. All of this from this one form.
Labels and Exporting
- Labels
CMO allows you to choose three different styles of labels.
1) 1 Across (Avery 4010)
2) 2 Across (Avery 5161)
3) 3 Across (Avery 5160)
** The labels above are Avery 5160 **
Click File ->Print and make sure the option "Page Scaling" is set to "None"
This will ensure the labels fit perfectly on the paper with virtually any printer. - Starting Label
Select the label to start with. No more wasted labels. Now, any partial sheets of labels remaining from a previous run can be used.
Labels can be printed for Households, Members, Groups, Talents, Financial Information and Envelopes. - Membership Export
There are many export windows in IconCMO that allow one to pull the necessary information down to the clients computer. The Household Export allows for the exporting of Household Names and Addresses.
The LifeTouch Directory is used to export the information into format for the LifeTouch Corporation when creating a church directory. - Envelopes Export
The Envelope Export window allows one to export Envelope information from our servers to your local computer in a format that can be used by common utilities such as Microsoft Word or Excel. One of the most common uses of this form is to export the information onto a diskette and send it in to the company that prints your envelopes. It exports only the necessary fields the envelope company will need.

The Visitation window allows you to quickly see the schedules for everyone along with who they are visiting and the purpose of the visit.

System Preferences
- Menu System
The Main Menu is at the top of the screen. It allows you to quickly and easily traverse the system. Click on one of the Categories at the top such as People or Contributions or General Ledger and select from the drop down where you want to go. Depending on your selection the tabs will change to reflect the option you selected. Once you click on a tab the main portion of the application will be displayed in the window below.
The tabs listed above (Home,Information,Reminders,Registration) are listed when you select Organization -> Setup. - Information
Church information can easily be changed.
- Personal Preferences
Personal Preferences provides the ability to change the default values throughout the system. The fiscal year can be move forward or back depending on the desired year to work in. The user can change their password or their default email address.
Changes to this window will only affect the login id that was used when logging into the system. Other users of the system will need to maintain their own personal preferences.
If View Accounting is set to no then the menus at the top labeled General Ledger, Banking, AR, and AP will not appear. - Church Preferences
The Church Preferences window is a powerful aspect of the membership system. It provides the ability to customize the fields to track the information you desire to record.
* Link to Fund Accounting: If set to yes, CMO will seamlessly link all contributions entered into the system to the accounting side of CMO. Many Church Software products on the market today offer an accounting system but few actually link the Contributions entered for a given sunday over to the actual General Ledger. CMO has the power to do this and link the dollars to a specified checking account and revenue account.
* The top right section is for modifying the drop down lists that are displayed throughout the system. These drop down list include the status of a household, the relationship to a household and a persons occupation just to name a few. The system includes four default status codes of Active, Visitor, Inactive and Delete. Most churches will use this section to add more status codes such as Prospect, Active Non-Member, Shut-in, and Associate Member. Their is no limit to the number of items that can be added.
* Maintain Phone and Email Types allows the addition of contact information to track. Examples: Cell Phone, Fax, Beeper, Work Email etc.
* Maitain Special Events: Click here to change the different dates to track. Example: Birth, Baptism, Confirmation, First Communion, Transferred In, etc.
